Shobi Printing Co., Ltd. recognizes that protecting people’s personal information—including their national identification number or other identifying information (hereafter, “personal information”)—is the basis of our ongoing publishing business and related operations as well as an important social responsibility, so we will continue to make every effort to handle personal information appropriately in our business operations.   1. 1 Appropriate collection
    We will collect personal information only through appropriate means and will inform you of the purposes for which that information is used.
  2. 2 Use of personal information
    We have set up measures to handle personal information within the scope necessary to achieve our usage purposes and will not use it for any other purpose beyond that scope. If it is necessary to use personal information beyond that scope, we will communicate that purpose in advance to the person in question and get their prior consent.
  3. 3 Distribution of personal information
    We will not provide personal information to a third party unless we have the consent of the individual in question or are required to do so by law. However, there are times when we outsource services that involve the consignment of personal information. In such cases, we set up a personal information protection contract with the contractor, and manage and supervise the handling of the information to ensure it is done properly.
  4. 4 Security measures
    We have set up security measures to ensure the safe handling of personal information in our custody, and we strive to prevent its leakage, loss, alteration, etc.; we will also take corrective measures as necessary.
  5. 5 Legal compliance
    We comply with the Act on the Protection of Personal Information, the My Number Act and other applicable laws, regulations, guidelines and norms set forth by the government. This policy and our internal rules will be maintained as we work to ensure that they are properly implemented.

    We will constantly review our system for handling personal information and work to make improvements to respond to changes in our business activities and changes in the surrounding social milieu that may include changes in laws and regulations and advances in information technology.

Handling of Personal Information

We publicly commit to handling your personal information properly in accordance with our Personal Information Protection Policy. Please understand and agree to the following before using our services and before providing your personal information.

(If the purpose for its use is clearly stated for each service, the information will be used in accordance with that purpose.) For example, when you ask a question, request materials or something else, answer a questionnaire, or participate in a campaign, you are consigning your personal information to us. We may use the information to give you a response, contact you, or send you a gift, or collate and use it as data that does not identify you personally in our business activities, but we will not disclose or provide your personal information to a third party without your consent.

Procedures for Disclosure of Personal Information

We will respond to requests for retained personal information if the individual making the request is the person to whom the information belongs.

1 Requests from an individual regarding their own personal information
1)Request for disclosure

When we receive a request for the disclosure of retained personal data of an individual, for example, we will respond promptly to the request after confirming it is the said individual making the request using prescribed procedures, except in the following cases—(1) through (5).

  1. (1) If responding would create a risk of harm to the life, body, property, or other rights or interests of the person or a third party
  2. (2) If responding would create a risk of significant hindrance to the proper execution of our business operations
  3. (3) If responding would violate other laws or regulations
  4. (4) If other disclosure procedures are stipulated by other laws or regulations
  5. (5) If it is not possible to confirm that it is the said individual making the request
2)Requests for notification of purpose of use

When we receive any of the following requests regarding the retained personal information of an individual from said individual, we will respond promptly to the request after confirming the individual’s identity using prescribed procedures.

  • Notification of purpose of use
  • Disclosure
  • Correction/addition/deletion
  • Suspension of use/deletion of all data
  • Cessation of provision to third parties

Please note that it may not be possible to comply with a request in some cases.

2 How to make a request
1)Request for disclosure

We accept requests in person or by postal mail as specified below. We will respond to the request after confirming that the request is being made by the person to whom the personal information applies. (Postage costs will be borne by that individual.)

Please fill out the required items on the Application for Disclosure (Note 1) according to the details of the request in 1 above; attach the prescribed Identification Document (Note 2); enclose return postage (please enclose 500 yen in stamps to cover the cost of postage, etc., as we will reply to your request by registered mail); and send the form to the address listed below for where to send the application form.
